Cash Application Associate

HOURS: Normal hours for this position are Monday through Friday beginning at 8:00 am and ending at 5:00 pm, with one hour break.  Additional hours may be required to meet the seasonal nature of our business and to meet certain requirements of the Company.

REPORTS TO: Manager, Accounting

This is an hourly position.  The minimum compensation is $11.96 per hour.

SUMMARY: Responsible for maintenance of vendor accounts and applying checks to proper accounts.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.  Apply cash and electronic payments to accounts receivable including driver's, cash sales, and Central Warehouse.

  1. Process customer statements.

  2. Research and process vendor credit memos.

  3. Process associate payroll deductions.

  4. Research and resolve credit only requests where the vendor may be billed back.  Develop recommendations and communicate to appropriate departments/individuals.

  5. Process miscellaneous billings and credit card purchases as needed.

  6. Monitor and maintain vendor accounts receivable within specified aging requirements.

  7. Research and resolve vendor A/R discrepancies and vendor refund requests.  Develop recommendations and communicate to appropriate departments/individuals/vendors.

  8. Identify and use appropriate write-off codes for cash receipts and obligations when necessary.

  9. Process corporate A/R claims using the Lotus Notes system.  Follow up, research, and resolve discrepancies as needed.

  10. Monitor and maintain the Alfmark freight claims account.

  11. Communicate Trade A/R discrepancies to appropriate individuals.

EDUCATION and/or EXPERIENCE: Associate Degree (A.A.) or equivalent from two-year college or technical school; or four months related experience and an education plan to complete Accounting 1 & 2 courses within 3 years and continue working towards an Associate Degree.

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other associates of the organization.

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

COMPETENCIES:

  1. Operate specific computer software: SUS, Liberty. AS400

  2. Familiarity with Accounting terminology.

  3. Work accurately at a rapid pace.

  4. Good attendance required.

  5. Work in a confidential manner.

  6. Good communication (grammer/proofreading), planning/organizational, decision making, follow-up, integrity and quality orientation skills.

  7. Continually learn new job related information.

  8. Proficient in 10 key data entry.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job.  While performing the duties of this job, the associate is regularly required to sit and talk or hear.  The associate frequently is required to use hands to finger, handle, or feel objects, tools, or controls.  The associate is occasionally required to reach with hands and arms.  The associate must occasionally lift and/or move up to 50 pounds.  Specific vision abilities required by this job include close vision and the ability to adjust focus.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an associate encounters while performing the essential functions of this job.  The noise level in the work environment is usually moderate.
